Class Policy

Welcome to The Dancing Mind. By booking or participating in any session, class, programme or service provided by The Dancing Mind, parents/guardians agree to the following Terms & Conditions.
1. About The Dancing Mind
The Dancing Mind offers one-on-one expressive movement and emotional development sessions for children through dance, creative movement, breath work, music and guided emotional expression.
Sessions are designed to support:
- Emotional awareness
- Confidence building
- Emotional expression
- Self-regulation
- Mind-body connection
- Healthy emotional development
Sessions are conducted in the child’s home environment to provide a familiar, safe and comfortable space for participation.
2. Important Disclaimer
The Dancing Mind is NOT a psychology practice, psychotherapy service, counselling service or medical practice.
By participating in sessions, parents/guardians acknowledge that:
- Sessions are NOT therapy
- No psychological diagnosis is provided
- No mental health treatment is provided
- Sessions do not replace professional therapy, counselling, psychiatric care or medical treatment
- The Dancing Mind does not provide trauma treatment or crisis intervention
The services offered are best described as:
- Emotional movement coaching
- Expressive dance sessions for children
- Movement and emotional development sessions
- Creative emotional expression through dance
If a child requires psychological, psychiatric, behavioural, developmental or medical support, parents/guardians are responsible for seeking assistance from an appropriately licensed healthcare professional.
3. Eligibility & Parent Responsibility
- Sessions are available for children approximately ages 3-15.
- A parent or legal guardian must provide consent before participation.
- Parents/guardians must disclose any relevant medical conditions, injuries, physical limitations, sensory sensitivities, behavioural concerns or developmental needs that may affect participation or safety.
- Parents/guardians remain responsible for the child at all times.
4. Session Structure
Session duration may vary between approximately 30–45 minutes depending on the child’s age, emotional needs and engagement level.
Sessions may include:
- Emotional check-ins
- Warm-ups and body awareness
- Guided movement activities
- Music and creative expression
- Breathwork and calming exercises
- Reflection and regulation activities
5. Payments Agreement
Payment Terms
- Payments must be made in advance unless otherwise agreed in writing.
- Monthly packages must be paid before the first session of the month.
- Should a client choose the debit order option, The Dancing Mind should be
informed when the debit ordered will be cancelled from the clients side. - Sessions may be cancelled or postponed if payment has not been received.
- Proof of payment may be requested before a session takes place.
The Dancing Mind reserves the right to adjust pricing at any time with reasonable notice provided to clients.
6. Late Payments
- Late payments may result in suspension of future bookings until outstanding amounts are settled.
- Repeated late payments may result in permanent cancellation of services.
- Any bank charges or transfer fees remain the responsibility of the client.
7. Cancellation & Rescheduling Policy
Parent/Guardian Cancellations
- At least 24 hours notice is required for cancellations or rescheduling.
- Cancellations made with less than 24 hours notice may be charged in full.
- Sessions cancelled within a 24 hours’ notice and after payment may be considered for either rescheduling or a refund, at the discretion of The Dancing Mind. Refunds, where approved, will be R520 for an individual session and R450 for a session included in a monthly package. All decisions regarding refunds or rescheduling will be made by The Dancing Mind based on availability, scheduling and individual circumstances.
Cancellation by The Dancing Mind
The Dancing Mind reserves the right to reschedule or cancel sessions due to illness, emergencies, unsafe conditions or unforeseen circumstances. In such cases, an alternative session time will be arranged where possible or alternatively the client will get a refund equal to the cancelled sessions.
8. Arrival & Late Start Policy
- Parents/guardians should ensure the child is ready at the agreed session time.
- If a session starts late due to client delays, the session may still end at the originally scheduled time.
- Excessive repeated delays may result in cancellation of future bookings.
9. Health, Safety & Injuries
While sessions are gentle, child-focused and age-appropriate, physical movement always carries some level of risk.
By participating, parents/guardians acknowledge and accept that:
- Participation is voluntary
- Physical activity may involve minor risks such as slips, falls, muscle soreness, or accidental injury
- The Dancing Mind cannot guarantee injury-free participation
Parents/guardians agree that:
- The child is physically able to participate
- Appropriate clothing and a safe movement space will be provided
- Any injuries, conditions or concerns will be disclosed beforehand
To the fullest extent permitted by law, The Dancing Mind shall not be held liable for:
- Injuries sustained during participation
- Accidents occurring within the home environment
- Pre-existing medical or psychological conditions
- Emotional responses arising during or after sessions
10. Safe Environment
Because sessions take place in the client’s home:
- Parents/guardians are responsible for providing a safe, open and appropriate space for movement
- Dangerous objects, pets or hazards should be removed where possible
- Sessions may be stopped if the environment is deemed unsafe
- The Dancing Mind will not be held liable for any pre-existing damage, faults, instability or issues within the client’s home or property. While every effort will be made to conduct sessions with care and professionalism, The Dancing Mind accepts responsibility only for damages directly caused by proven negligence on its part during a session.
11. Confidentiality & Privacy
The Dancing Mind respects client privacy and will treat personal information confidentially.
However:
- Information may be shared if required by law
- Information may be disclosed if there is concern regarding the safety or wellbeing of the child or others
Client information will never intentionally be shared publicly without permission.
12. Photos, Videos & Social Media
Photos or videos will only be taken or shared with parental consent in writing. This consent may be withdrawn at any time in writing.
Parents/guardians may choose whether:
- Their child may be photographed
- Content may be used for marketing, social media or website purposes
Parents/guardians may not record, publish, distribute or share any photos, videos or footage from sessions or classes involving The Dancing Mind on social media or any public platform without prior written consent from The Dancing Mind. This policy is in place to protect the privacy, safety and intellectual property of all participants and instructors.
13. Behaviour & Respect
The Dancing Mind reserves the right to discontinue services if:
- Behaviour becomes unsafe, abusive, aggressive or inappropriate
- Boundaries are repeatedly disrespected
- A parent/guardian creates an unsafe or uncomfortable working environment
14. Parent/guardian attendance
Parents and guardians are encouraged to allow children to attend sessions independently, as parental presence during classes may distract the child or limit their ability to fully express themselves openly and comfortably. Parents or guardians are welcome to attend the first introductory session after registration, thereafter all sessions will take place privately between the facilitator and the child, unless otherwise agreed upon in special circumstances.
15. Intellectual Property
All class materials, branding, activities, logos, written content and session concepts belonging to The Dancing Mind remain the intellectual property of the business and may not be copied, reproduced or distributed without permission.
16. Changes to Terms & Conditions
The Dancing Mind reserves the right to update or amend these Terms & Conditions at any time. Continued participation after changes are communicated constitutes acceptance of the updated Terms & Conditions.
17. Agreement
By booking or participating in sessions with The Dancing Mind, parents/guardians confirm that they:
- Have read and understood these Terms & Conditions
- Agree to the policies outlined above
- Accept responsibility for the child participating in sessions
